ROLE DESCRIPTIONS OF VOLUNTARY POSITIONS AVAILABLE
The primary role of a steward is to assist with the delivery of an enjoyable and safe experience for Festival audiences. Stewards help the Festival to maintain a high level of customer care and provide practical assistance both inside and outside the venue. Festival stewards represent a large proportion of those carrying out public roles during the Festival and therefore, as far as the audience is concerned, these individuals are as much the “face” of the Festival as the full-time staff. It is therefore important that Stewards present themselves in a positive and professional manner at all times.
99% of stewarding is answering questions, giving advice and keeping an eye on your area. However, 1% may involve helping to save lives in an emergency. As a steward, you need to plan for every eventuality and be prepared to respond as and when required.
Being a steward means, you could be asked to take on a variety of roles. Above all, it means being the eyes and ears of the festival – being alert, friendly and attentive, and able to report any safety issues that occur.
Help the event manager and event team to set up the venue
Greet the audience upon arrival
Check tickets of those arriving and sell tickets on the gate
Answer simple questions from festival goers
Sell programmes and/or merchandise
Help to clear the venue throughout the festival
In the event of an emergency, assist the Event Manager as appropriate.
We are looking for someone who has:
Excellent communication and interpersonal skills to deal with a range of enquiries from members of the public
A flexible and pro-active approach – the Festival comprises a variety of events and work. We may require volunteers to be very hands-on and willing to undertake a variety of basic tasks e.g. erecting gazebos etc
The ability to handle cash confidently
A friendly disposition
Commitment and reliability although volunteers give their time freely (and the Festival appreciates that volunteers are under no obligation to give their time), 100% attendance and application is required
A good steward should be
Friendly and approachable
Able to maintain good humour when tired
Comfortable speaking with the public
Willing to be vocal, flexible, honest and reliable.
All stewards will need to:
Provide a reference
Be eligible to volunteer in the UK
Be 16 or over by the day they arrive at the festival
Have an excellent level of spoken English
Adhere to our standards of behaviour.
We welcome applicants from all age ranges and backgrounds. No prior experience is needed and training will be provided.
Assisting festival goers with directions.
Helping festival goers carry their belongings and pitch their tents.
Answering questions about performances and line-ups.
Reporting any problems e.g. a build-up of litter or faulty facilities.
Working with Fire Safety, Medical and Security teams.
Keeping an eye on the campsites and venue for fire.
Helping with various roles across the festival site e.g. pedestrian and vehicle gates, wristband exchanges, keeping an eye on facilities, monitoring stages and walkways.
You are required to complete a minimum of 12 hours as part of your volunteer role. You are expected to perform your duties to a good standard. Hours and volunteer shifts are dependent on the needs of LRP staff and the event promoter.
Volunteer shift patterns are arranged to allow you to enjoy as much of the festival as possible, where possible, but also reflect the needs of the event.
Please note: LRP reserves the right to change your onsite hours/tasks due to the needs of the promoter and LRP.
Assisting with the processing of customers, placing wristbands safely on wrists of people entering the site in exchange for their ticket, keeping your bands and ticket stubs secure, tallying your stubs and bands at the wristband exchange.
Directing campers to less congested areas of the site, keeping fire/access lanes clear, checking on amenities, giving out advice and directions, checking the general mood of the customers, interacting with customers, helping to create a happy vibrant atmosphere, reporting any concerns/observations to supervisors and event management.
Handing out leaflets, maps and giveaways to customers. Providing customers with event information. Aiding welfare and medical teams to make sure everybody is having a good time.
Involved in the day-to-day recycling of waste materials on site. Handing out bin liners and advising patrons of our onsite recycling facilities and encouraging them to use these. Picking litter from the ground over the weekend.
Car Park Assistant
Assisting and directing customers from coach and other vehicles on arrival at the event, and vice versa on their return.
Making sure, these areas are camped to allow the maximum use of the land available and report any concerns to the LRP management.
When will I find out my shifts?
You will find out your shift times and roles/locations when a week before the festival You will be expected to turn up to all your shifts by the start time stated on the shift email/letter. It is important that you turn up for your assigned shifts on time, as LRP and the rest of your team depend on you.
What time of day will I be on shift?
We need stewarding cover to run 12 hours a day so start times vary as split shift system will be in place . The times of the event are from 5pm on Friday 9.30 am on Saturday & Sunday however shifts on Thursday and Friday for preparation are available, plus Monday for clearance of the site
Your supervisor will organise your breaks
Once you have finished your shift you are free to enjoy the festival. Please remove ID and Hi Vis jacket
When will my first shift be?
You may have your first shift the Thursday, Friday or Saturday of the festival
On all of your shifts, you will be allocated a supervisor. If you have any problems or issues on your shift, your supervisor is the first person you should go to.
A week before the festival you will receive your pre-festival email from the Stewarding Office. This email will confirm entry instructions, times of entry/registration etc. The letter you will need to bring with you to the gate in order to gain entry to the festival.
When you have received your pre-festival email, you should have all the information you need to head down to the festival site. Make sure your keep an eye on your emails and this website for any late changes/updates to entry instructions. Don’t forget to keep your email address up to date so you receive this email.
Stewards will be asked to wear a high-visibility tabard, which we will supply and ID badge at all times when on shift. This needs to be worn over your clothes so you are visible at all times. Apart from that, you will need to bring practical clothes to suit different times of day and weather conditions. Sturdy shoes and a waterproof coat are essential!
To ensure comprehensive handovers and briefing at every shift change, we schedule everybody (including shift leaders, supervisors and stewards) to be at their position 15 minutes before the start time on their shift sheet.
Arriving 15 minutes early will ensure you are ready when your shift starts and the previous stewards can leave on time.
Staying on site
There is a campsite available which you can stay during the festival if you wish. You have to bring your own tent, and all the other camping equipment you will need as this will not be provided. But there are showers!
You must be 16 or over to be a steward
There is no upper age limit! If you are a more mature steward who is still young at heart and would like to be involved, then we would love to have you on the team.
An Information email will be sent prior to arrival at the festival – this email thoroughly details the festival stewarding role and responsibilities and provides information about the festival and the festival site.
Should be selected for a position this year you will be placed at the top of the list for following events as a preferred volunteer
All voluntary workers may use this weekend as work experience and job references can be given to prospective employees from LR Partnership
